Returns & Exchange Policy
General Policy
Our standard policy is that we do not accept returns or exchanges unless the item is defective or faulty. However, as part of our commitment to customer service, we offer a limited return policy under specific conditions, outlined below.
Return Conditions
To be eligible for a return, you must notify Circle of Diamond within 7 days of receiving the item and meet the following conditions:
- The product must be returned within 7 days of delivery.
- The product must be in its original condition, unused, unworn, and undamaged.
- All original documentation, including GIA or IGI certificates, must be included. If the original certificate is lost, a replacement fee of $200 USD will be deducted from the refund.
- The item must be returned in its original packaging and box.
- The item must not have been adjusted in any way (e.g., resized, engraved, or modified).
- The item must not be missing any original diamonds or gemstones.
- Any signs of wear, scratches, or damage will result in rejection of the return request.
Returns that do not meet these conditions will not be accepted.
Return Process
To ensure your return is processed correctly, please follow these steps:
- Request Approval – Contact us at info@circleofdiamond.com with your order number and reason for return. Returns without prior approval will not be accepted.
- Secure Packaging – Pack the item securely, including all original packaging and documents. For security reasons, do not mention the contents of your package on the outer packaging. Label the package as "fragile."
- Use Insured Shipping – Send the package via a trusted courier service with tracking and insurance. Forward the tracking details to our team.
⚠️ Returns that are improperly packaged, lost, or damaged during transit will not be our responsibility. The customer is fully responsible for the return shipment.
Return Shipping Costs
- We provide free delivery on all orders, but customers must cover the return shipping cost.
- The customer is responsible for any customs fees or import duties related to the return.
Refunds
- Once we receive and inspect your return, we will notify you whether the refund is approved.
- If approved, the refund will be processed to your original payment method within 10 business days.
- Refund processing time may vary depending on your bank. If you do not receive your refund within 14 business days, please contact your bank before reaching out to us.
Damaged or Incorrect Items
Please inspect your order immediately upon arrival. If you receive a damaged, defective, or incorrect item, contact us at info@circleofdiamond.com within 48 hours so we can resolve the issue.
Exchanges
The fastest way to exchange an item is to return the original item following our return policy and place a new order.
Items Exempt from Return
Certain items are not eligible for return, including:
- Earrings and other pierced jewelry (for hygiene reasons).
- Custom-made or bespoke jewelry (unless faulty or otherwise agreed in writing).
- Non-resizable rings – If a ring design is non-resizable, it will not be covered by our return policy. You will be informed of this at the time of purchase.
- Sale items and gift cards – These are final sale and cannot be returned.
Final Decision & Discretion
- We reserve the right to reject returns that do not meet our policy requirements.
- All return approvals are subject to our final discretion.
- Circle of Diamond reserves the right to modify this policy at any time.
